Does ZeroPaste post to my accounting system automatically?

No. ZeroPaste is review-first automation. It extracts, suggests, flags exceptions, and prepares reviewed exports or draft handoffs, but final posting stays with the bookkeeper so the workflow remains safe and auditable.

What formats and export presets are supported?

ZeroPaste supports a generic CSV/XLSX export, a Xero-friendly CSV preset, a QuickBooks Online friendly CSV preset, and a DATEV-friendly CSV preset. Each workspace can keep a default preset and switch presets per export when needed.

How does supplier memory work?

Supplier memory learns normalized supplier names, common VAT patterns, due-date logic, reference habits, and export preferences per workspace. Future invoices from the same supplier start with those suggestions, but every document can still be overridden safely.

What is the exceptions queue?

The exceptions queue is the review list for documents that need judgment first. It shows the reason for each flag, including low-confidence VAT, missing invoice numbers, suspected duplicates, unusual totals, currency mismatches, or supplier behavior outside the normal pattern.

Is there an audit trail?

Yes. ZeroPaste keeps a simple audit trail with review notes so you can see who changed what, when it changed, and the short reason given by the reviewer. It is meant for practical accountability, not as a full workflow engine.

ZeroPaste works in three steps. First, you upload invoices, forward them by email to your ZeroPaste inbox, or use Snap to photograph paper invoices from your phone. Second, ZeroPaste automatically extracts the key invoice fields and line items using AI. Third, you review the results in a clean dashboard, make any corrections, and export a spreadsheet or optionally create draft bills in Xero. Is ZeroPaste safe for financial documents?

Yes. ZeroPaste automatically deletes all uploaded invoice files within 24 hours of processing or immediately on user request. Files are stored securely during processing and are not shared with third parties.

Does ZeroPaste work without Xero?

Yes. ZeroPaste works completely standalone. You upload or forward invoices and get clean CSV or XLSX exports with no accounting software required. The Xero connection is optional — enable it when you want draft bills created automatically.

How much does ZeroPaste cost?

Solo users can start with 5 free documents and no card required, then move to the public Solo plan. Firms that need shared processing can move into the Firm or Studio tiers.

Can ZeroPaste handle invoices from multiple clients?

Yes. You can create separate client workspaces, assign invoices to specific clients, filter your dashboard by client, and export per-client spreadsheets. Small firms can do this inside a shared organization workspace so teammates are working from the same intake and review context.

What file types does ZeroPaste support?

ZeroPaste supports PDF, JPG, and PNG files. You can upload up to 50 files at once, forward invoice emails directly to your personal ZeroPaste inbox address, or use Snap on your phone to photograph clean paper invoices without installing an app.

Who is ZeroPaste designed for?

Does ZeroPaste do bookkeeping or post transactions to a ledger?

ZeroPaste extracts and optionally delivers. It does not file, reconcile, classify, or post transactions to a ledger.

What is the difference between ZeroPaste and Dext?

ZeroPaste is focused purely on extraction and export — it works standalone without requiring any accounting software connection. Dext is a more complete pre-accounting platform requiring setup and integration. What invoice fields does ZeroPaste extract?

How does the email forwarding feature work?

Every ZeroPaste account has a unique personal inbox address. You forward invoice emails to that address and the attachments appear in your dashboard automatically.

What is Snap?

Snap is ZeroPaste's mobile photo capture flow at /snap. It opens in your phone browser, uses your rear camera, and lets you photograph paper invoices without installing an app.

How long does ZeroPaste keep my invoice files?

Original invoice files are automatically deleted within 24 hours of processing or immediately on user request. ZeroPaste stores only the extracted data (numbers and text), not the original PDF or image.

Does ZeroPaste train AI models on my invoice data?

No. Your invoice data is never used to train AI models. Each extraction is processed in isolation, and the original invoice file is automatically deleted within 24 hours of processing or immediately on user request.

Can ZeroPaste extract line items from invoices?

Yes. ZeroPaste now extracts line items alongside the main invoice fields, surfaces confidence and row-level flags, and lets you review or correct them before export.
